The integration has already begun delivering impressive results, enhancing the financial operations and boosting overall efficiency for flexible workplace operators.
UBCUK Flexible Offices, an UltraSoftBIS customer with 16 locations in the UK, needed a solution to streamline the transfer of financial data — ensuring that invoices and client details were accurately and automatically imported into their Access finance system without any user intervention.
After analyzing Access’s and UltraSoftBIS’s API integration platforms, we identified that it was not straightforward, and that bespoke development was necessary. This was quite challenging, but we decided to put in the effort as we knew the results would be worthwhile, and bring in great benefits to our customer base.
UltraSoftBIS spent 6 months to complete the integration and go live with it; UBCUK was the first customer to implement it.
Sharon Attwood, Finance Manager at UBCUK Flexible Offices, shared her satisfaction with the results just one day after the integration went live:

We are a quite complicated business for a company our size, with 6 separate legal entities and 16 sites within that, all managed by different people from a credit control point of view with an external view for them into the actual finance system, so making sure all invoices and clients come over with the correct details (so it all slots into our process) is challenging. Ultrasoft has understood the requirements and it all seems to have changed over to an automated process seamlessly.”
One of the most notable benefits of the integration is the substantial time savings it provides. Previously, UBCUK had to interrupt daily operations to manually import data for invoicing and billing processes. This task, especially during month-end, was a major bottleneck. With the new system in place, these interruptions are eliminated, allowing UBCUK’s finance team to focus on their core work.
Attwood added, “Accuracy is important. Thanks to UltraSoftBIS, we’ve cut out rekeying customer data, boosting accuracy and efficiency. Now, our finance team can focus on what really matters, such as unlocking even more opportunities to streamline and optimize our work.”
The new system not only improves operational efficiency but also enhances accuracy, further streamlining UBCUK’s financial operations.
